Meme: My Killer GTD Setup

I got tagged on a new meme by gtdfrk from Getting Things Done, and he kindly asked me to write in English. The theme of the meme is to write about my killer GTD set-up, and as I am interested in the way of working of others, I accepted the meme, resulting in the first English entry on El Canasto.My current set-up is the result of many years of tweaking. I am a long-time Palm user but the way I use it has changed significantly since I read GTD.

El tema del meme es escribir sobre mi sistema GTD 'killer', y como me interese mucho la manera de trabajar de otros he aceptado el meme, resultando en la primera entrada en inglés de El Canasto.Mi sistema actual es el resultado de muchos cambios pequeños durante muchos años. Hace mucho tiempo uso un Palm, pero la manera de usarlo ha cambiado por completa después de haber leído GTD.

My office GTD setup At the office, the centre of my GTD set-up is Microsoft Outlook, enriched with the GTD add-in and a macro called the GTD Police which generates automatically a new task whenever I finish a task belonging to a project. Other software I use is ActiveWords and MindManager. I religiously keep the Windows desktop clean, with exception of four folders: In for incoming files from FTP, e-mail and IM; Out for temporary placing files to be send to others by FTP, e-mail or IM; Pending for project support material – of course with a subfolder per project; Archive for general reference storage and old project material.

Mi sistema GTD en la oficina El centro de mi sistema GTD en la oficina es Microsoft Outlook, mejorado con el add-in GTD y un macro que se llama Policia GTD que automáticamente genera una tarea nueva si finalizo una tarea parte de un proyecto. Otras aplicaciones que uso son ActiveWords y MindManager. Intento mantener el escritorio de Windows limpio, con solo cuatro carpetas: Entrada para ficheros recibido por FTP, correo o IM; Salida para guardar temporalmente ficheros antes de enviarlos por FTP, correo o IM; Pendiente para material de soporte de proyectos – con una sub-carpeta por proyecto; Archivos para material de referencia general y proyectos antiguos.

Most of my work is done electronically, and therefore I am able to keep my physical environment sparse. On my desk I only have an inbox, a telephone, my PC, a receipt printer – for testing, my Palm and a stack of used paper for making notes (Click on the photo for an annotated version on Flickr).

For exactly the same reasons, I don't have a filing cabinet, but use a carton box instead.

My home GTD system My system at home is almost equal to my office set-up, though I use Palm Desktop instead of Microsoft Outlook as the centre of my system. Since I always carry my Palm with me, my home and office systems are perfectly synchronized. On the Windows desktop you will find the same four folders, together with some Yahoo! Widgets.

Mi sistema GTD a casa Mi sistema a casa es muy parecida al sistema que tengo en la oficina, con la excepción de Palm Desktop que uso en lugar de Microsoft Outlook. Por que siempre llevo mi Palm conmigo, mis dos sistemas quedan perfectamente sincronizados. En el escritorio de Windows tengo las mismas cuatro carpetas y un par de Yahoo! Widgets.

Also at home I try to keep my physical space as clean as possible. Though I deal more with paper, I don't have an inbox, but use a corner or my table instead. I found that an inbox keeps things too tidy; without an inbox it looks messier, which motivates me to process the papers. Beside that, on my table you will only find my monitor, a printer and four cables to connect various devices to my PC: Palm, iPod, digital camera and video camera – why can't they all use the same cable? Under the desk a small filing cabinet with one drawer with hanging folders and a drawer with office material – pens, stapler, calculator,... Intento dejar mi espacio lo más limpio posible. Aunque proceso más papel, no tengo una bandeja de entrada pero uso una esquina de la mesa. He encontrado que una bandeja de entrada queda demasiado limpia, y si uso solo la esquina de la mesa parece más desorganizado, motivándome a procesar estos papeles. Además de esto, solo tengo una pantalla, una impresora y cuatro cables para conectar varios dispositivos al ordenador: Palm, iPod, cámara digital y cámara de vídeo – ¿por que no usan todos una misma cable? Abajo de la mesa tengo un archivador pequeño con carpetas colgantes en el cajón grande y material de oficina – bolígrafos, grapadora, calculadora,... – en el cajón pequeño. On the road When I am not sitting behind one of my PCs I always have my Palm Zire 31 with me. I use the Palm to synchronize information between the two sites, but also to consult tasks, appointments, contacts and notes and to collect ideas. Whenever I have created new notes on my Palm, I visualize entering my office and putting the Palm in my inbox. Whenever I actually enter the office, I easily recognize the situation again and place the Palm in my inbox to process the notes I made. But the biggest value of my Palm lies in the huge amount of memos stored on it, with very diverse information such as lists of good restaurants and hotels per country, keyboard shortcuts for various applications, the amount of liquor and other goods I am allowed to take with me when travelling, serial numbers of almost everything I own, ideas for presents for key people, CD and book wish list, my travel checklist etc.

Fuera Si no estoy delante uno de los dos ordenadores siempre llevo mi Palm Zire 31 conmigo. Uso este PDA para sincronizar informaciones entre los dos sitios, pero también para consultar tareas, citas, contactos y notas y para recopilar ideas. Cuando he creado notas nuevas en el Palm, me imagino entrar en el despacho y poner el Palm en la bandeja de entrada. Al momento que realmente llego al despacho, reconozco la situación y realmente pongo el Palm en la bandeja para procesar mis notas. Pero el aventaje más grande del Palm son los todos los memos que guardo en ello, con información tan diverso como una lista de restaurantes y hoteles buenos por país, atajos de teclado para algunos aplicaciones, el volumen de alcohol y otras cosas que puedo llevar conmigo cuando viajo, números de serie de casi todo, ideas para regalar a personas clave, CDs y libros que quiero comprar, mi lista de viaje, etc.
